Who we are
Pixel Presentation is a presentation design studio based in Khulna, Bangladesh. We are the controller of the personal data described here. Contact: [email protected].
This policy covers our website, the client portal and the emails we send. Our Cookie policy explains cookies in more detail.
What we collect
Account details (name, email, company), project content you upload, messages, invoices and payment references, and basic technical data such as IP address and browser. We never store card numbers.
When you use a form on this website, we keep what you send:
- Contact brief: your name, email, company, project details and any files you attach.
- Pricing estimate: your email address and the estimate you asked us to send.
- Newsletter: your email address. You are added only after you confirm through the link in our email (double opt-in).
- Careers application: your name, email, phone number if you give it, portfolio link, CV and anything else you tell us.
- Booking a call: the details you give our scheduling tool, Cal.com.
The marketing box on our forms is never ticked for you. If you tick it, we keep a record of what you agreed to and when.
When you make a choice in the cookie banner, we keep a consent record as proof: the categories you chose, the policy version, the date, and one-way hashes of your IP address and browser.
Our own visit counter records page views per day, page, referring site, device type and country. It uses no cookies and stores no IP address or other personal data.
To stop spam, Cloudflare Turnstile checks that forms are sent by a person, and we store a one-way hash of the IP address a form was sent from.
How we use it
To deliver and support your projects, send invoices and receipts, keep accounts secure, and, only with your consent, send occasional marketing emails you can unsubscribe from at any time.
We also use it to answer briefs and questions, prepare quotes, review job applications and, only if you allow analytics, understand which pages help visitors.
Our legal bases are: carrying out a contract with you, or steps you asked for before one (projects, accounts, quotes, job applications); our legitimate interests in running and protecting the business (security, spam prevention, replying to business enquiries); your consent (marketing emails, analytics and marketing cookies); and legal obligations (tax and accounting records).
Cookies and analytics
Essential cookies keep you signed in. Analytics (Google Analytics 4 through Google Tag Manager) loads only after you accept it in the cookie banner. You can change your choice from the footer at any time.
If your browser sends a Global Privacy Control or Do Not Track signal, we treat it as a refusal of analytics and marketing cookies. The Cookie policy lists every category and how long your choice is kept.
AI processing
If you use the optional AI draft studio, your prompt and uploaded notes are sent to our AI provider to create the draft. Providers are contractually barred from training on your data.
Our AI providers are OpenAI, Google (Gemini) and Anthropic (Claude). One is active at a time, and another takes over if it fails. Logging prompts for debugging is off by default; when we switch it on, those logs are deleted after 7 days.
Who we share it with
Only the processors needed to run the service: hosting, email delivery, payments, analytics and AI providers. A current list is available on request.
Today these are:
- Cloudflare: network security, delivery of the website, Turnstile spam checks and encrypted backups.
- Hostinger: web hosting and our database.
- Resend: account, project and form emails.
- Amazon Web Services (Amazon SES): newsletters and other marketing emails.
- Google Tag Manager and Google Analytics: website analytics, only after you accept analytics cookies.
- Cal.com: booking calls with us.
- Payoneer and our bank: receiving your payments.
- OpenAI, Google and Anthropic: the optional AI draft studio.
- Sentry: error reports, with personal data removed.
Some of these providers process data outside your country, including in the United States, India and Singapore. Where the law requires it, we rely on standard contractual clauses or equivalent safeguards.
We never sell your data. We share it with authorities only when the law requires us to.
How long we keep it
Project files for 12 months after completion, invoices for as long as tax law requires, and marketing contacts until they unsubscribe.
- Careers applications and CVs: deleted 6 months after you apply.
- Form submissions marked as spam: deleted after 30 days.
- AI prompt logs, only when debugging is on: deleted after 7 days.
- Contacts we delete: removed for good after 30 days.
- Your cookie choice: kept in your browser for 6 months, then we ask again.
- Consent records: kept as proof of your choice for as long as we rely on it.
If you unsubscribe, we keep a one-way hash of your email address so that you are never emailed again, even if your address is imported by mistake.
Your rights
You can access, correct, export or delete your data, object to marketing, and withdraw consent. Use Settings in your account or email us; we reply within 30 days.
Every marketing email has an unsubscribe link that works straight away, with one click.
Security
Encrypted connections, encrypted sensitive fields, private file storage, two-step sign-in for staff and an audit log of sensitive actions.
Files you send us are kept on private storage, never at a public address, and can only be downloaded through short-lived links after a permission check.
